Who we are
This Privacy Policy explains how Cypress Cooling Company LLC, a Louisiana limited liability company (“Cypress Cooling,” “we,” “us,” or “our”), collects, uses, and protects information when you visit cypresscooling.com (the “Site”) or contact us about residential heating and cooling services.
Our principal office is 5000 W Esplanade Ave #635, Metairie, LA 70006. You can reach us at (504) 396-4266 or [email protected]. This policy covers the Site and our related communications; it does not cover third-party websites or services we link to.
Information we collect
Information you give us
When you complete a contact or service request, ask for an estimate, apply for a job, or reach us by phone, email, or text, we collect information such as:
- Identifiers and contact details — your name, phone number, email address, and service or mailing address.
- Service details — information about your HVAC system, your home, and the help you need.
- Job-application details — the position, your experience, and résumé content you submit through our careers form.
- Communications — the content of the messages, forms, and reviews you send us.
Information we collect automatically
When you use the Site, we and our analytics and security providers may collect usage and device information — such as your IP address, browser and device type, pages viewed, referring page, and on-site interactions — using cookies and similar technologies described below.
Call and message information
If you call or text a number shown on the Site, we and our call-tracking provider may collect your phone number, the date, time, and duration of the call, and related details. We may record or monitor calls for quality, training, scheduling, and recordkeeping.
We do not intentionally collect Social Security numbers, driver’s license numbers, or full payment-card numbers through the Site. Financing applications and any payments are handled by third-party providers (see “Financing & payments”).
Where your information comes from
- Directly from you — through forms, calls, texts, email, and in-person interactions.
- Automatically from your device and browser as you use the Site.
- From service providers that help us operate the Site and our business — such as lead-routing, call-tracking, analytics, advertising, scheduling, and review platforms.
How we use your information
- Respond to your inquiries and prepare estimates and proposals.
- Schedule, provide, and follow up on HVAC service and maintenance.
- Communicate with you by phone and email about your request, appointments, and service.
- Review and process job applications.
- Operate, secure, maintain, and improve the Site and understand how it is used.
- Measure and improve our marketing.
- Detect, prevent, and respond to fraud, spam, and abuse (for example, through reCAPTCHA).
- Comply with legal obligations and enforce our Terms of Service.
Do we sell or share your personal information?
Our “do not sell / do not share” commitment
We do not sell your personal information for money, and we do not “share” your personal information for cross-context behavioral advertising, as those terms are defined under the California Consumer Privacy Act, as amended by the CPRA (the “CCPA”).
We have not sold or shared personal information in the preceding 12 months, and we do not knowingly sell or share the personal information of consumers under 16 years of age.
We disclose personal information to service providers and processors only so they can perform services for us under contract — not for their own marketing.
When we disclose information
We disclose personal information in the following ways:
Service providers and vendors (acting on our behalf)
- Website hosting and content delivery infrastructure.
- Form and lead delivery and CRM — the CI Web Group form relay (api.ciwebgroup.com), which routes your form submissions to us.
- Call tracking and form-lead attribution — WhatConverts.
- Website analytics and tag management — Google Analytics 4 and Google Tag Manager.
- Spam and bot protection — Google reCAPTCHA (applies Google’s Privacy Policy and Terms).
- Maps and location display — Google Maps embed on our contact page.
- Web fonts — Google Fonts (your IP address is processed by Google to deliver fonts).
- Online scheduling — Housecall Pro.
- Financing pre-qualification — Optimus and/or third-party lending partners.
- Reviews and reputation — Google, and the Real Work Labs review widget.
- AI content and estimate tooling — see “AI-assisted content & tools.”
Other recipients
- Professional advisors such as our attorneys, accountants, and insurers.
- A successor in a merger, acquisition, financing, or sale of assets.
- Government authorities or other parties when required to comply with law, respond to lawful requests, or protect the rights, safety, and property of Cypress Cooling, our customers, or the public.
Phone calls & text messages
Our website forms do not sign you up for text (SMS) messages. If you give us your phone number, we use it to contact you about your request, appointments, and service.
We do not share your phone number for marketing
We do not sell, rent, or share phone numbers with third parties or affiliates for their own marketing or promotional purposes. Phone numbers are used only to provide the services you requested and are shared only with the providers that help us deliver them.
Cookies & tracking technologies
We use cookies and similar technologies in two broad categories: necessary cookies (required for security and core Site functionality, which cannot be switched off) and optional analytics and marketing-measurement cookies (which help us understand Site usage and improve performance).
When you first visit the Site, a cookie notice appears. In the United States, optional cookies are on by default and you can choose “Opt out”; in the European Economic Area, the United Kingdom, and Switzerland, optional cookies stay off unless you choose “Accept.” Your choice is saved in your browser and applied on later visits. You can also delete cookies through your browser settings.
We honor a recognized Global Privacy Control (GPC) opt-out preference signal as a valid request to opt out of any “sale” or “share” where applicable. Because there is no common industry standard for “Do Not Track” (DNT) browser signals, we do not currently respond to DNT, but the controls above remain available.
Some third parties (for example, Google) may set their own cookies through reCAPTCHA, Maps, and Fonts; their use of data is governed by their own privacy policies.
Analytics & advertising
We use website analytics (for example, Google Analytics 4 / Google Tag Manager) to understand how visitors find and use the Site so we can improve it. You can opt out of Google Analytics using Google’s Analytics Opt-out Browser Add-on and by rejecting analytics cookies in our banner.
If interest-based advertising is later used, you can manage it at optout.aboutads.info, youradchoices.com, and optout.networkadvertising.org.
Financing & payments
We may offer financing through third-party lenders or financing partners (for example, Optimus). If you apply, your application is submitted to and processed by the provider under its own terms and privacy policy, and any approval decision is theirs. We do not store your full credit-application data, Social Security number, or full payment-card numbers on the Site.
Payment Security
The Site does not contain a payment-card form, and we do not collect or store payment-card numbers through the Site.
Financing applications are completed on Optimus’s hosted application site (apply.optimusfinancing.com), and online booking is completed on Housecall Pro’s hosted booking page (book.housecallpro.com). Information you enter there is collected and secured by those providers under their own terms and privacy policies.
AI-assisted content & tools
Some content on the Site is generated or assisted by artificial-intelligence tools and reviewed by our team. Any pricing, sizing, or estimate tool offered on the Site is automated and provided for general illustration only; the information you enter may be processed to generate an illustrative estimate.
Automated outputs are not a binding quote and not a substitute for professional HVAC advice. See our Terms of Service for the full AI and estimate disclaimer.
Children’s privacy
The Site is intended for adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13 in violation of the Children’s Online Privacy Protection Act (COPPA). If you believe a child has provided us personal information, contact us and we will delete it.
How long we keep your information
We keep personal information for as long as needed to fulfill the purposes described in this policy and to meet our legal, tax, accounting, warranty, and dispute-resolution needs. When information is no longer needed, we delete it or de-identify it.
How we protect your information
We use reasonable administrative, technical, and physical safeguards designed to protect the information you share with us. However, no website, electronic transmission, or storage system is completely secure, and we cannot guarantee absolute security.
Your privacy choices & rights
Your California Privacy Rights — Do Not Sell or Share My Personal Information
We do not sell or share personal information as California law defines those terms. You can still tell us not to, at any time and without an account, in any of these ways:
- Choose “Opt out” on the cookie notice (clear this site’s cookies to see it again).
- Turn on Global Privacy Control (GPC) in your browser. We treat the signal as a valid opt-out of sale or sharing for that browser.
- Email [email protected] or call (504) 396-4266 and ask us to opt you out.
California residents (CCPA/CPRA)
If you are a California resident, you may have the right to:
- Know and access the categories and specific pieces of personal information we collect, use, and disclose.
- Request deletion of personal information we collected from you, subject to legal exceptions.
- Request correction of inaccurate personal information.
- Opt out of the “sale” or “sharing” of personal information — although, as stated above, we do not sell or share it.
- Limit the use of sensitive personal information — although we do not use sensitive personal information for purposes that trigger this right.
- Not receive discriminatory treatment for exercising your rights.
You may submit a request by emailing [email protected] or calling (504) 396-4266. We will verify your request using information we already hold, and you may use an authorized agent. You may appeal a decision by replying to our response.
Residents of other states
Residents of states with comprehensive consumer privacy laws — such as Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, and a growing number of others — may have similar rights to access, correct, delete, and obtain a copy of their personal information, and to opt out of targeted advertising or sale. We honor verifiable requests from residents of these states to the extent the applicable law applies to us.
Louisiana residents
Louisiana has not enacted a comprehensive consumer privacy statute as of the last-updated date of this policy. As a matter of policy, we extend the ability to request access to, correction of, and deletion of personal information to our Louisiana customers.
How to exercise your rights
To make any privacy request, contact us at [email protected], (504) 396-4266, or 5000 W Esplanade Ave #635, Metairie, LA 70006. We will respond within the timeframes required by applicable law.
Links to other websites
The Site may link to third-party websites and services we do not control. We are not responsible for their content or privacy practices, and we encourage you to review their privacy policies before providing them information.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above, and for material changes we will take additional steps as required by law. Your continued use of the Site after an update takes effect means you accept the revised policy.
